1. Booth Reservation & Registration
Booth Space Booking
Booth space is reserved through the official IAAPA website or the IAAPA sales team.
Pricing depends on booth size, location, and type (inline, corner, peninsula, island).
Final pricing and contracts are managed via the Exhibitor Portal.

IAAPA can provide insurance for a fee (typically around USD $100 per company).
Exhibits involving machinery, rides, or interactive equipment may require higher coverage.

All exhibitors must complete required forms via the Exhibitor Resource Center, including:

2. Booth Design & Installation
Booth Construction Options
Turnkey booths: Design, production, logistics, installation, and dismantling handled by one supplier.
Custom / self-appointed contractors (EAC): Must be registered and approved by IAAPA and the official contractor.
Labor & Union Rules
Most U.S. trade shows operate under union labor regulations.
Official contractors handle:
Material handling
Electrical connections
Rigging / overhead hanging
Exhibitor-appointed contractors must submit insurance and labor documentation in advance.
Move-in Schedule
IAAPA uses a Targeted Move-In Schedule, assigning specific dates and times for installation.
Early or late access is not permitted without approval.
3. Shipping & Logistics
Advance Warehouse
Shipping Options
Ship materials to the official advance warehouse before the deadline.
Materials are stored and delivered to the booth at the assigned move-in time.
Direct to Show Site
Ship directly to the convention center.
Trucks must check in at the marshaling yard and wait for unloading authorization.
Drayage / Material Handling Fees
Drayage covers unloading, delivery to booth, storage of empty crates, and return after the show.
Fees are charged separately from shipping and are based on weight.
⚠️ Important: Incorrect weight declarations or late shipments can result in high onsite surcharges.
4. Onsite Services & Additional Costs
Electrical Services
Electrical services are not included in booth space rental and must be ordered separately from the venue.
Typical costs (advance order rates):
120V single outlet: approx. USD $300+
208V or three-phase power: USD $700–$1,500+
Overhead power drops: additional charges apply
Ordering onsite is significantly more expensive.
Overhead Hanging & Rigging
For hanging signs, lighting structures, or suspended lightboxes:
Rigging must be approved by the venue.
Charges include:
Rigging labor
Equipment rental (motors, chains, lifts)
Costs depend on weight, number of rigging points, and installation time.
Cleaning & Waste Removal
Daily booth cleaning is usually not included.
Trash removal and cleaning services can be ordered separately through official vendors.
Utilities & Other Services
Additional services include:

Catering (exclusive venue providers only; outside food is not permitted)
5. During the Exhibition
Exhibitor Badges
A limited number of exhibitor badges are included with booth rental.
Additional badges require extra payment.
Show Rules & Compliance
No advertising or product display is allowed outside the contracted booth space.
Exhibits may not be removed during show hours.
Violations may result in penalties or fines.
6. Dismantling & Move-Out
Move-Out Process
Dismantling may only begin after official show closing.
Empty crates are returned to booths by the official contractor.
Outbound shipping arrangements must be prepared in advance.
International Return Shipping
International exhibitors must arrange export documentation and customs clearance.
Official freight forwarders can assist with return logistics.
